- Intake forms and session notes are stored in a password-protected file on a secure device. Emails are deleted once they are read and any necessary information is securely stored.
- Any paper notes (if used) are kept in a locked file.

- Provide you with therapy services
- Arrange, manage, and confirm appointments
- Maintain professional records in line with legal and ethical standards
The legal basis for processing your information is consent and the contract formed when you engage with MindMatters for therapy.
Who we share your information with:
Your information is strictly confidential. We do not share it with any third party except:
- When required by law or professional obligation (for example, risk of harm to you or others, or a court order)
- When you have given explicit consent (for example, to coordinate care with your GP or another health professional)
How long we keep your information:
Client records are retained for a minimum of 7 years after therapy ends, in line with professional and insurance guidelines. After this period, they are securely deleted or destroyed.
Emails are deleted after being read and any relevant information is stored securely.
Your rights:
You have the right to:
- Request access to your personal information
- Request correction of any inaccurate information
- Request deletion (where possible under legal and ethical guidelines)
- Withdraw your consent (where applicable)
- Make a complaint to the Data Protection Commission at www.dataprotection.ie
